First steps

After the installation, sign in with the first admin account. Your business is set up in a few minutes.

1. Set up the company

Under Company:

• Check the company name.
• Switch features on or off – e.g. absences, projects, working time checks, premiums, shift planning. What is switched off disappears from the interface.
• Choose the federal state for public holidays.
• Break rule: notice only, deduct missing breaks automatically, or don't check (default per § 4 ArbZG: 30 minutes from 6 hours, 45 minutes from 9 hours of work).
• Leave: default annual leave, carry-over into the next year and expiry date (default 31 March).
• Create working time models as templates, e.g. "Full time 40 h" (Mon–Fri 8 hours each), optionally with flexitime frame and core hours.

2. Create teams

Under Teams, create departments or locations and choose who leads them. Team leads see their team's times, decide on requests and plan shifts.

3. Add people

Under People → Add person: name, email, role, team and a start password (at least 8 characters, please hand it over personally). Optional:

• Kiosk PIN and RFID chip for clocking at the kiosk,
• annual leave, start date and leaving date (pro-rata leave),
• substitute required for requests,
• protection rule for minors or maternity protection (see working time checks).

Import existing data from another system via data import.

4. Assign work plans

For Punchify to calculate target and balance, every person needs a work plan: under People → Work plan. Either fixed hours per weekday (from a template or your own values) or flexible weekly hours. More under time account and work plans.

5. Get started

From now on everyone clocks under Today – in the browser, as an app or at the kiosk. At the end of the month you close the month and pass the reports to payroll.

Several companies

The first admin is also the super admin: under Companies they create further companies in the same installation. Companies are strictly separated; each has its own people, settings and admins. People of all companies count together for the licence.
